Electronic notarization or e-notarization is when a notary public (or in this case, an e-notary) notarize documents electronically, over the internet. There are no papers physically signed or printed: all is done using an e-notary’s digital stamp, electronic notary seal, or other kinds of an electronic signature via the internet. Eazy Peezy!

An electronic notary seal is a digital version of a notary seal used on paper documents, with the corresponding data that confirms the notary’s name, jurisdiction, and commission expiration date. An electronic notary signature is a unique, independently verifiable image of the e-notary’s handwritten signature that is attached to the document in a way that a document cannot be altered. Sometimes, unique identifying numbers, which are known only by the notary in question and the Secretary of the Commonwealth, are also used.

The notary public profession continues to slowly but surely move toward online, or e-notarization. Since conference technology can be used by an e-notary to both verify the identity of a client and to verify the signature, online notarization is considered legal by the federal law and most state laws. In 2012, Virginia became the first state to officially authorize electronic notarization, and was soon followed by a number of states.

Today, e-notarization may still be limited. Some state notary public administrators are reluctant to allow their state’s notaries to perform online notarization. They are afraid of the fraud if the security were to be compromised.

Nonetheless, the request for, and use of, e-notarization soars on due to the global realization that e-notarizations result in substantial time and money savings for both the notaries and their clients. Using the electronic notarization can, for example, allow a client needing a certain document, such as a bill or a bid, to be presented as soon as possible, to present himself before the e-notary. E-notary can then, after following all prescribed practices, electronically sign the document and transmit the document electronically – immediately.

Ideally, e-notarization should streamline the process of notarization, significantly reduce processing time, eliminate signing errors and redundancy, increase compliance, and decrease delivery expense. The efficiency should be greatly improved, and thus enhance the customer service provided by the notaries.
